Search and navigation guidelines

Search resources

  1. Use the search box to find archival descriptions that contain matching text. The search box is available on all pages;
  2. Enter a term in the search box. Use a single keyword or more terms, and symbols in the advanced search (see Advanced search);
  3. Click on the spyglass icon to the right of the box or press Enter on your keyboard;
  4. The system searches all fields in all archival descriptions and displays the results on the search results page;
  5. The results page shows the search term and the total number of results. By default, the system displays ten results at a time. Pagination is located at the bottom of the screen and allows the user to browse long lists of results;
  6. Click on the title to see the full description. You will be taken to the archival description view page.

Navigation

Use the menu on the left side of the page. You can browse the following content:

  1. Archival description: Description of funds and collections.
  2. Names: People and institutions that produce the collection and people or entities that have some other type of participation in the production of a document (examples: author, legal entity, photographer, etc.)
  3. Authority records: Can be searched using the search box located above the list of names. Each name corresponds to an authority record that can contain information about the entity (biography, administrative history, relevant dates, etc.)
  4. Functions: Displays a list of university functions that reflect activities and document creation.
  5. Custodyers: Displays the name of institutions responsible for the custody of archival documents.
  6. Subjects: Terms used in indexing descriptions. Each subject is associated with a list of descriptions that can be viewed by clicking on the term.
  7. Places: Names of places used in indexing descriptions. Each place is associated with a list of descriptions that can be viewed by clicking on the term.
  8. Digital objects: Thumbnails of images registered in the database. Each thumbnail is associated with an archival description that can be viewed by clicking on the image.

Access documentation

This section (version 2.5 link) provides guidelines for searching, browsing, and navigating. Most of the functions discussed are available to all user roles, including researchers with read only access. See below the section topics:

  1. Search. To help users locate and manage content, AtoM includes powerful search support, available anywhere in the application through the search box located in the AtoM header bar, or through one of the many dedicated search boxes for specific entities or record types.
  2. Advanced search. In addition to AtoM’s general search box (located in the AtoM header bar), AtoM also includes a robust advanced search interface that allows user to build complex queries via the user interface.
  3. Browse. The Browse menus in AtoM allow users to browse complete lists of archival descriptions, as well as digital objects, authority records (for people and organizations), places, subjects and functions. In multi-repository installations, users can also browse archival institutions.
  4. Navigation in AtoM. This section introduces users to key navigation elements in AtoM, as well as recurring page elements that can be used to perform a variety of functions throughout the application.
  5. Context menu. The context menu appears on all view and some edit pages to provide greater contextual information about the record currently being viewed.
  6. Clipboard. The Clipboard is a user interface element that allows users to select records while searching and browsing, and add them to a list (the “clipboard”), for later review or further action.
